Motoring Insider Privacy Notice
This notice explains how we collect and use personal data when you use motoringinsider.co.uk, buy a vehicle report, open a trade account or join our affiliate programme, and what rights you have.
1. Who We Are
Multimedia Projects Ltd, trading as Motoring Insider, is a company with company number 05508063, registered office 1 Southdown Close, Kingsnorth, Ashford, Kent TN25 7AE. Multimedia Projects Ltd is the controller of your personal data and is registered with the Information Commissioner's Office under registration number ZA522168.
Contact us about anything in this notice at support@motoringinsider.co.uk or by post at the address above.
This website is not intended for children and we do not knowingly collect data about children.
2. The Personal Data We Collect
- Identity and contact data: your email address, and your name if you give it.
- Vehicle data: the registration number you enter, any mileage you give, and the vehicle details returned for it. Because a registration number can be linked to you, we treat it as personal data.
- Order data: the package and extras you choose, prices, order reference, timestamps, payment and refund status, the billing details Stripe returns for our accounts, invoices and credit notes.
- Report data: the report results, PDFs, and the creation, expiry, cancellation and use of secure sharing links.
- Account and access data: the email address you sign in with, the one-time sign-in codes and session identifiers we create (stored only in hashed form), the dates you sign in, and a non-reversible hash of the internet address used to request access, which we use to protect the service against misuse.
- Communications data: messages you send us, our replies, and whether our emails were delivered, opened or unsubscribed from.
- Referral data: the affiliate tag or partner link that brought you to the site, if any, linked to your order so we can pay the right affiliate. We do not pass your name, email, registration or report to the affiliate.
- Search and location data (free tools): the postcode you search for on our fuel price and EV charger tools and, if you choose "use my location", your device's location. We use them only to find results near you and do not store them.
- Trade and affiliate data: for business accounts, the business name, contact names and email addresses of users, website, VAT number, invoicing details and, for affiliates, the bank details and tax information needed to pay commission.
We do not collect special category data or information about criminal convictions.
3. Where We Get It
Most of this data comes from you when you use the site. When you enter a registration number, we send it to the DVLA and the DVSA to get vehicle, tax and MOT information, and, for a paid report, to the commercial data services listed in section 6, through One Auto API, to get vehicle-history data. Stripe tells us whether a payment succeeded. If you arrive through an affiliate link, the link tells us which affiliate referred you. If you search our fuel price or EV charger tools by postcode, your browser looks the postcode up with postcodes.io (section 6) to find where it is; if you use your location instead, your browser gives it to us only with your permission.

We will only use your data for another purpose if it is compatible with the original one, or if we tell you and have a lawful basis.
5. Marketing Emails
If you give us your email address when buying or starting to buy a vehicle report, we may email you about that check and about our other vehicle checks. This includes up to three reminders if you start a check but do not finish paying, and occasional information about our similar vehicle checks. We tell you this where you give us your email address, and each of these emails has an unsubscribe link that stops them straight away. Unsubscribing does not stop emails about a report you have bought.
These emails are only about our own vehicle checks. They never include third-party offers, and we do not share your data with anyone else for their marketing.
When you unsubscribe we keep a minimal record of your email address on a suppression list so we do not contact you again.
7. International Transfers
Some of our providers are based in, or may access data from, the United States, including Stripe, Vercel, Resend, Cloudflare, Google, Microsoft and PostHog. We only allow this where the transfer is protected by UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework for certified organisations) or by approved contract terms such as the UK International Data Transfer Addendum. Ask us for details at support@motoringinsider.co.uk.
9. How Long We Keep It
| Data | How long |
|---|---|
| Orders, invoices, credit notes and payment records | 6 years after the end of the financial year they relate to, for tax and accounting |
| Reports, PDFs and your account | While you keep your account and we offer the service. You can ask us to delete your account at any time, but order and invoice records are kept as above. |
| Secure sharing links | Until they expire or you cancel them, then the access record for 12 months |
| Sign-in codes and sessions | Codes deleted 7 days after they expire; sessions deleted 31 days after they expire or you sign out |
| Requests for a free report through an affiliate link | 30 days |
| Abandoned checkouts and their reminder emails | 90 days, unless you then buy |
| Messages and complaints | As long as needed to deal with them and keep a reasonable record, then deleted or anonymised |
| Affiliate and trade account records | While the account is open and 6 years after it closes |
| Postcodes and locations searched in the free tools | Not stored: used for the search and then discarded |
| Unsubscribe record | As long as needed to make sure we do not email you again |
10. Security
We use appropriate measures to protect your data against loss, misuse and unauthorised access, including encryption in transit, hashed sign-in codes and sessions, and access limited to people who need it. We have procedures for dealing with a suspected data breach and will tell you and the ICO where the law requires.
11. Your Rights
You have the right to ask for a copy of your data, to have it corrected, to have it erased, to restrict or object to our use of it (including an absolute right to object to direct marketing), to have it transferred to you or another organisation, and to withdraw consent where we rely on it. To use any of these rights, email support@motoringinsider.co.uk. We may need to confirm your identity first. There is normally no fee, and we aim to reply within one month.
If you are unhappy with how we use your data, please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk, on 0303 123 1113, or at Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
